Who is responsible?

IDACZ B.V., trading as HFM Transport, is the controller for the processing of personal data described in this policy.

Which data do we process?

Data you provide yourself

When you fill in the enquiry form on the contact page, we process the details you enter: company name, contact person, email address, phone number, collection and delivery location, preferred transport date, type of goods, and your message.

We use these details solely to assess and answer your enquiry. The legal basis is the performance of a contract, or taking steps at your request before entering into one.

If you contact us by email or telephone, we process the details you share in that contact, for the same purpose.

Data recorded automatically

This website is hosted with an external hosting provider. As with practically any web server, that party records technical data when you request a page, including your IP address, the time of the visit and information about your browser. These logs are needed to serve and secure the website. We do not use them to track you or to build profiles.

The server behind the enquiry form keeps its own record of what happened: the time, and whether an enquiry was accepted, refused or sent. It holds no name, no email address, no message content and no IP address. So that excessive use of the form can be spotted, the IP address is turned into an encrypted code that cannot be turned back into an address.

Cookies

This website sets no cookies. We use no tracking cookies, no analytics cookies and no third-party cookies. That is also why you will not find a cookie banner here.

Analytics and third parties

We use no analytics software, and we have placed no tracking pixels or social media buttons on this website.

The fonts on this website are served from our own domain rather than fetched from an external party. Your browser therefore makes no connection to third-party servers for them.

Who do we share your data with?

We do not sell your data and we do not share it with third parties for commercial purposes. We do rely on parties that are necessary to provide this website:

  • Our website hosting provider — provides the servers this website runs on.
  • The hosting provider behind our enquiry form — provides the server the form is sent to. Your enquiry is not stored there: it is checked, forwarded by email, and then not kept.
  • Our email provider — handles sending and receiving the email containing your enquiry.

How long do we keep your data?

How long we keep your data depends on what happens to your enquiry.

If your enquiry does not lead to a job, we keep it for twelve months and delete it afterwards. No statutory retention period applies to such an enquiry; we keep it only for as long as it makes sense to come back to the conversation.

If your enquiry does lead to a job, it becomes part of our records. Those fall under the Dutch statutory retention obligation: the tax authority requires the basic records of a business to be kept for seven years. We keep the data for as long as that period runs.

Your rights

Under the General Data Protection Regulation (GDPR) you have the right to:

  • see which personal data we process about you;
  • have inaccurate data corrected;
  • have your data erased;
  • have the processing restricted;
  • object to the processing;
  • receive your data in a commonly used file format.

If you wish to exercise any of these rights, please contact us. We respond within the statutory period of one month. If we cannot resolve it together, you may lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

Security

This website is served exclusively over a secure HTTPS connection. In addition, we take appropriate organisational measures to protect the data you share with us against loss and unauthorised access.

Changes

When the website changes, we update this policy to match. The date at the top of this page shows when the text was last revised.
